SUBJECT: COVID-19 – Health and Safety Protocol and Business Continuity Readiness

At Ubity, our team members’ health and safety are of paramount importance, especially given the current situation with the COVID-19 (coronavirus). Today, we wanted to share with you some of the measures and protocols we have put in place, in an abundance of caution, to minimize risk to our team members, our customers, and the community at large.

  • Leveraging our leading-edge communication technologies to enable most of our team members to work from home
  • Limiting all team members’ interactions if they are required to be in the office
  • Prohibiting all business and non-essential travel
  • Increasing our office cleaning and hygiene measures standards
  • Deploying additional health and safety measures for any on-site visits

All these efforts are to ensure the health and safety of our team members so there is no impact in servicing and supporting our customers today.

Our goal is to continue to provide exceptional customer service and support, even during this period of uncertainty. Rest assured that all support channels (email, portal, and phone) for our customers’ services will continue to be available in all capacities.

Please contact us via email at support@ubity.com or by phone at 877-315-1920 for any service-related issues or inquiries. Our intention is to provide the same level of service and support our customers have come to expect from us, while limiting exposure and risk to clients and team members.

We are fortunate to have access to business communication technologies and resources which will not only keep our team and customers safe, but also ensure business continuity. Please reach out to us (support@ubity.com or 877-315-1920) if we can help do the same for you in these uncertain times.

As always, thank you for being a valued customer, and stay safe.

Sincerely,

Ubity

Ubity - Business Continuity and Connectivity Services

By using Ubity services you can provide your business with effective ways to help maintain business continuity throughout any situation. Many options are available to allow you and your teams to adjust to your specific situation.

1

Call forwarding enables individuals to forward their work number to another number of their choice such as a mobile phone. This is an effective way to redirect calls, however, please note that once the call is forwarded, it can no longer be retrieved by the Ubity system for further treatment. For more information, see documentation here: https://support.ubity.com/tech/en/support-ubity/s-0016-changing-your-numbers-behavior/

2

Call forwarding can also be setup individually, per extension, either to another extension or to an external phone number. Additionnally, there are various possible extension call forwarding options: See our support website documentation for more details: https://support.ubity.com/tech/en/support-ubity/021-guide-for-managing-your-extensions/

3

Combining any of the above services with Voicemail-to-Email or Voicemail Notification provides users with another communications touch point while working away from the office. Voicemail-to-Email or Voicemail Notification will either send an audio file via email or sends an email notification that a voicemail is available for retrieval on the user’s phone. This ensures that while workers are away from the office, client messages are not left unattended. Voicemail-to-Email or Voicemail Notification can be sent to multiple users for greater continuity and customer service. See documentation on our support website here: https://support.ubity.com/tech/en/support-ubity/u-0005-voicemail-user-guide/.

4

Ubity’s service enables you to configure users’ extensions on multiple phones to ring simultaneously. The benefit of this is that a user’s extension can be active at multiple location like a home office phone, for example.

5

Our Ubity UC software-based solution enables your mobile phone or your desktop device to emulate your Ubity extension - allowing your staff to work remotely by leveraging mobile data plans, Wi-Fi hotspots, or to operate from their homes utilizing their existing internet connection. Account administrators can activate UC, extension per extension, as required, on Ubity studio.ubity.com portal. See more information here: https://support.ubity.com/tech/en/support-ubity/021-guide-for-managing-your-extensions/

6

Conferencing enables businesses to communicate with large numbers of attendees on a single audio bridge. During instances where people are working remotely, you may wish to communicate with your employees as a group rather than as individuals. Ubity's Conferencing Service provides a cost-effective way to create ad-hoc or scheduled audio meetings as required. See Audio Conference service information here: https://support.ubity.com/tech/en/support-ubity-categories/conference-2/
